How EventSpark Powers Onsite Check-In at Salesforce World Tour

Nov 2, 2026 · Maia James

Real Event Stories · Delivering check-in, badge printing, and Lead Scan across Salesforce World Tour events in EMEA

At Salesforce World Tour, thousands of customers, partners, and Trailblazers arrive within the same short window, all hoping to make the opening keynote. The registration desk is one of the first touchpoints attendees experience.

“As soon as they get through that door and they see a long line, it affects how the event is perceived.”
Mike Lysko, Founder and CEO, Flock Eventing Platform

EventSpark supports onsite check-in at Salesforce World Tour events across EMEA, working alongside Salesforce's event team to deliver fast, seamless attendee experiences. In our webinar Onsite Events Unpacked, EventSpark's Head of Customer Success, Noelle Van Schalkwyk, spoke with Jeni Rose, Head of Operations for Flock and SparkSmiths in Europe, and Mike Lysko, Founder and CEO of Flock, about moving people through the door efficiently and what to do when things don't go according to plan.

What a Smooth Check-In Looks Like

Jeni describes a poor check-in experience simply: a queue that isn't moving and attendees who feel their time is being wasted. Smooth check-in operations typically have a few things in common:

  • A calm front-of-house team. Even when busy, positive energy from the event team helps create a better guest experience.
  • Greeters in the queue who help attendees prepare QR codes and identification before reaching the desk.
  • Staff who understand their roles, making every interaction quick and confident.
  • Clear onward direction to the keynote, cloakroom, catering area, or expo floor.

At World Tour events, the EventSpark Onsite App supports fast check-in through tablet-based kiosks for self-service or assisted check-in. Attendees simply scan their QR code or select their name, and their badge prints instantly.

The Invitation and Landing Page Create the First Impression

For Mike, the attendee experience begins long before arrival. The first impression starts with the invitation and registration journey.

Registration should be quick, with returning attendees' details pre-filled. QR codes should be added to a mobile wallet so attendees aren't searching through inboxes at the front of the queue. Data quality should also be checked early. Noelle recalled seeing registrations submitted with invalid email addresses caused by something as simple as an accidental full stop at the end of the address, exactly the kind of issue that can slow down onsite operations.

Because EventSpark is native to Salesforce, registrations become Salesforce records from the very first click, meaning onsite teams work from the same data event teams have used throughout the event lifecycle.

Plan Capacity Like a Formula 1 Pit Crew

Mike compares registration at a 5,000+ attendee event to a Formula 1 pit crew: every second matters.

Work out how many attendees each check-in station can process and ensure you have enough stations available for peak arrivals. Design the registration area so queues flow naturally and establish a dedicated help desk so that one complex registration doesn't slow down everyone else.

His rule of thumb is simple: if you've planned for 80% of what can happen, the remaining 20% is far less likely to derail the event.

Don't underestimate the importance of reliable hardware either. At an outdoor Salesforce-related event in Madrid, unexpectedly cold conditions raised concerns about badge printer performance. With some tuning and preparation, the printers performed flawlessly and remain among the team's preferred devices today.

Beyond the Front Door

Once checked in, attendees move between sessions, the expo floor, and partner stands.

Jeni stresses that scanning must be fast and simple for event staff because, for many organizers, this is where the real value is captured. With EventSpark Lead Scan, every scan can create or update a lead in Salesforce, while session scanning records attendance data for reporting and follow-up activity.

The result is a single source of truth across registration, attendance, and lead capture.

When the Plan Doesn't Go to Plan, Keep It Human

Jeni noted that

“There is a solution somewhere. I may not know it right at that moment, but I will find a solution, and we always do.”
Jeni Rose, Head of Operations, Flock and SparkSmiths Europe

Mike shared an example from an event in Munich where the team had to solve an unexpected challenge. A security checkpoint, rather than registration, created lengthy queues on a cold day. The team responded by bringing out pretzels and coffee for attendees waiting in line. Later, they added a DJ. What began as a frustration became part of the event experience. These simple gestures ended up having a great impact.

At a recent event, Jeni mentioned that a guest arrived with their child after being unable to secure childcare. A staff member created a badge for the child and gave them a pin to wear. The interaction took only moments but made both attendees feel welcomed and included. An events team that notices the small details makes a world of difference.

As Noelle put it:

“Warm human experiences are powered by solid systems behind the screen. There are lots and lots of processes in place that assist us in getting that human and warm feeling across.”
Noelle Van Schalkwyk, Head of Customer Success, EventSpark
