Planning Your First Event in Salesforce
A 4-step guide: From event record to branded site, registration form, and invitations
Your event's success is often determined right from the first planning phase. Get the basic event record, website, registration form, and communications right, and every registration becomes clean Salesforce data that you can report on, follow up on, and reuse for future events.
This guide walks through the four building blocks of an event in EventSpark, the 100% native Salesforce event management platform trusted to power more than 2,000 events, including registration for Salesforce World Tour.
The Four Building Blocks
Start with the Event Record
Everything about your event is managed from a single record in Salesforce. Registrations, emails, check-ins, payments, and survey responses are stored as Salesforce data in your own org, using the permissions, sharing rules, and reporting capabilities your team already relies on. There is no separate database to sync and no spreadsheets to import after the event.
Before creating your event, define the essentials:
- Name, dates, and venue. For virtual or hybrid events, decide whether you'll host on Zoom, Webex, or Microsoft Teams.
- Capacity. Establish attendee limits so your registration form can automatically switch to a waitlist when full.
- Your campaign. Link the event to a Salesforce Campaign so registrations, attendance, and new leads contribute to ROI reporting.
- Ownership. Clearly define responsibility for content, communications, and data management.
The EventSpark event record tracks your setup progress so you can easily see what's still outstanding before launch. Once your first event is complete, simply clone it, including templates and configuration, to quickly create future events in a recurring program.
Build a Branded Event Site
An attendee's first impression starts with the invitation and landing page, long before they arrive at the venue. Your event website is where people decide whether to register.
Every EventSpark event includes its own responsive microsite, with no coding or design skills required.
A strong event site should include:
- A clear headline and banner explaining what the event is, who it's for, and why it matters.
- Key event details including date, time, location, directions, or virtual joining information.
- Agenda and speakers, even for shorter events. People register for valuable content and engaging speakers.
- One clear call to action that directs visitors to register.
Branding is configured once and reused across events. Organizing Entities manage corporate identities, while event themes, custom fonts, banner images, and custom CSS control the look and feel. This allows regional teams or partner-hosted events to maintain unique branding without rebuilding from scratch.
Running multilingual events? EventSpark's translation capabilities support event sites, registration forms, and emails, with language settings managed at the event level.

Design a Registration Form That Keeps Data Clean
Your registration form is where your event data begins. Every field should have a purpose. Only ask for information you genuinely need, whether that's dietary requirements, ticket selection, or qualification questions for follow-up.
EventSpark helps keep your Salesforce data clean:
- Pre-filled details for known contacts. Invited attendees see existing information populated automatically, speeding up registration and encouraging data accuracy.
- Duplicate prevention. The form prevents duplicate registrations, while new registrants can automatically become Leads, sync with Contacts, and link to the appropriate Campaign.
- Forms that adapt to event status. Registration experiences automatically change based on whether an event is open, invitation-only, waitlisted, full, or completed.
- Manage Booking functionality. Attendees can update their own registration details without relying on your team to make changes manually.
EventSpark forms are GDPR and POPIA compliant. For paid events, ticket plans and voucher codes are handled with the same registration experience, with all transactions recorded directly against the booking in Salesforce.
Before launching, complete a test registration yourself and review the resulting record. Small data-entry errors can quickly become large operational headaches on event day.
Plan Invitations and Reminders on a Single Timeline
Even a great event website and registration form won't fill a room by themselves. Attendees need the right communications at the right time.
With EventSpark, every invitation, reminder, confirmation, thank-you email, and survey is managed from a single event communication timeline. Communications can use Classic or Lightning email templates, while audience rules ensure people receive appropriate messaging based on their registration status.
For example:
- Initial invitation 4-6 weeks before the event.
- Follow-up invitation to non-responders approximately two weeks later.
- Registration confirmation immediately after registration, including a QR code and digital wallet pass.
- Reminder emails one week before and one day before the event, including venue, parking, or joining instructions.
- Thank-you and survey emails sent within 24 hours after the event to both attendees and no-shows.
Email delivery and engagement are tracked alongside RSVP, attendance, and survey status, giving event teams a complete view of every attendee journey without leaving Salesforce.
